Creating Backups for 2016-1 Compliance

All FFLs utilizing cloud-based eBound Book solutions should follow one of the outlined methods to download and save the necessary data files daily.  ATF Ruling 2016-1 requires all data files to be downloaded to a physical storage device located at the licensee's business premises.

Manual Backup Downloads

To ensure all required records are maintained, it is recommended Users download and save each eBound Book daily.
To export a particular A&D Book as a CSV file, follow the instructions below:
  1. Next to the A&D Book heading, click Search/Query 
  2. Click the Export CSV button above the Disposition column
  3. A dialog box will appear with a link to the Export Downloads page where the file will be available for download
  4. Click the link, or navigate to the Export Downloads page
  5. If the status of the requested report is In Progress, allow additional processing time, then refresh the page
  6. Once the requested report is available, Download will display in the Status column.  Click Download to save report
  7. The export file will download to the default location in the User's browser settings.  

Automated Backup Downloads

In order to download the Automate Backup service and have your daily A&D Book backups automatically downloaded to your local computer there are several computer system settings that have to be addressed before downloading the tool from eBound.  In short, the latest ASP.NET Core Hosting Bundle must be installed to your computer and your Internet Information Settings have to be updated.  Following that, the eBound Automate Backup service may be downloaded and installed.  What follows are the detailed steps that are necessary for the Automate Download service to function. 


1.     Download the latest ASP.NET Core Hosting Bundle

a.     Navigate to and select the latest version recommended from the listed versions. 

b.     Download the Hosting Bundle for Windows.  See the image below:

c.      Run the installation on your computer.

d.     Restart your computer if prompted.

2.     Configure your Internet Information Settings

a.     Navigate to Control Panel > Programs > Programs and Features > Turn Windows Features On or Off

b.     Open the Internet Information Services Node by clicking the expand button (i.e., the “plus box”).  See image below.



c.      Open the Web Management Tools node under the Internet Information Services menu by clicking the expand button.  See image below.


d.     Select the IIS Management Console button.  See image below.



e.     Check the box for World Wide Web Services. See image below.



f.       Open the World Wide Web Services node. 

g.     Open the Application Development Features node.  See image below.



h.     Ensure the Websocket Protocol feature is activated.  See image below. 



i.       Click OK.  Your computer will now download and/or update the necessary settings.

j.       Restart your computer if prompted.

3.     Create two new folders on your computer.  Per ATF Ruling 2016-1 this has to be on a local computer.  The naming conventions below are suggested, but not required:

a.     Automated Backup Service

b.     eBound Daily Downloads

4.      Download and Set Up the Automate Backup Installer

a.     Navigate to Orchid eBound.

b.     Select “Automate Backup” located under the “My FFL” menu.

c.      Click “Download Installer” and save the installer to your computer.

d.     Right click the .ZIP folder and click “Extract All”.

e.     Open the “AutomateBackupInstaller” folder.

f.       Open the “dist” folder.

g.     Right click the “BoundBookInstaller Setup 1.0.0” application, and select “Run as Administrator”.  See image below.

                                                    i.     *If the program does not run, turn off your antivirus and firewall.  After installation you may turn on your antivirus and firewall.



h.     In the dialog box, enter your eBound username and password.  Click “Validate Connectivity”.  If you have entered your user credentials correctly you will receive a confirmation notice.  See image below.




i.       For the first field below, select the “Automate Backup Service” folder you recently created. 

j.       For the second field, select the “eBound Daily Downloads” folder you recently created.  See image below.


k.      Click Install.  You will receive a notification the service has been installed.  See image below.




l.       After you receive notification the service has been installed, click “OK” in the success notification dialog box and then click the “X” in the top right corner of the Installer window. 


The computer must remain (1) powered on, (2) not in sleep mode, and (3) connected to the internet.  The files will download overnight.   

Avoid Losing Leading Zeros in Exports

If any data fields (e.g. Serial Number, Zip Code) in the report contain leading zeroes (e.g., 001, 00900ADE, etc.), simply double clicking the file to open in most spreadsheet programs will drop those leading zeroes. This is a function of data in the spreadsheet program, not Orchid eBound Book. To avoid losing the leading 0's in Microsoft® Excel®, follow the steps below:
  1. Open Microsoft® Excel®.
  2. Open the Text Import Wizard.
  3. When the dialog box opens prompting the User to select the file to import, select the .csv file of the eBound Book export.
  4. Select the Delimited radio button. Click Next.
  5. In the Delimiters list, deselect the default delimiter (if applicable), and select Comma. Click Next.
  6. In the screen which prompts the User to select the data format of each column, select the Serial Number column and click the Text radio button to format Serial Numbers as text.
  7. Click Finish.
Other spreadsheet programs will require different steps, please research these steps BEFORE opening the file in your program.
